How to Set Up Rental Products

With rental products, you can rent out items by the hour or minute instead of days. This is perfect for facilities like bowling alleys, saunas, meeting rooms, massage services, or tennis courts, allowing you to manage all your objects and accommodation rentals within one software solution!

Activate Beta Functionality for Rental Products

This functionality is currently available in BETA for premium accounts only. To activate it, go to Settings > Developers.

Time Profiles

The first step is to set up time profiles. These indicate the windows when guests can book a specific rental product. For example, you might set a profile for weekdays between 13:00 and 20:00, and another for weekends between 8:00 and 21:00. You can set up multiple time profiles.

This can be done in Settings > Administrations > Time profiles.

Categories

Next, you can set up reservation categories. By default, there’s always the “Accommodation” category, which is used for renting out pitches, bungalows, and rooms. This category also has a default set of statuses that cannot be changed.

For this example, we’ll use “Bicycles.” Create a new category named “Bicycles” and add statuses like “pending,” “in use,” and “brought back.”

This can be done in Settings > Reservations > Categories.

Types

The next step is to create one or more types. You can do this by opening the category from the menu on your left. On this page, you can add types such as “Bicycle (Men)” or “Bicycle (Women).”

If you open a type, you’ll find several tabs:

Information

Here, you can add a name and description for this type in multiple languages. This information will be used for both the back office and online booking.

Pictures

You can add one or more pictures per type. The first image will be used during booking and will be the main thumbnail in the booking engine.

Prices

To determine the rental price, you have various options. You can set prices per hour or minute, and each timeslot is connected to a time profile (which you set up earlier).

Fixed Price: A fixed price is the simplest solution. For a set minute/hour rental, the price is always a fixed amount.

Price Table: If you want to work with dynamic pricing per day, this is also possible. For this, you need to set up a rate/price table. In this table, you can set a price per day, just as you would for an accommodation rental.

Caution: If you set a price of 10 in the rate/price table and connect it to a 1-hour slot, this means renting one of these objects for 1 hour will cost 10 euro on that day.

Objects

This is where you specify the quantity of objects you have for rent. For example, if you have 10 men’s bicycles, you can add them here and assign them a number or name.

Status

If a bike is broken or out of service, you can disable its status. It will then be visible in the scheduler as unavailable and cannot be booked online.

Settings

In the settings, you can set the ledger ID, VAT Rate, and add tags to this type. This is also where you can remove the type.
